Privacy Policy

RetainerMeter is designed as a local-first desktop app. Your client records, hours, billing records, invoice data, and backups are stored on your own device unless you choose to send or upload them somewhere yourself.

1. Data stored by the app

The app stores configuration, client details, work entries, invoice records, and backup files locally on your device. RetainerMeter does not upload this app data to our servers as part of normal use.

2. Data you may send to us

If you email us, request a desktop download link, request support, join an update list, buy a licence, buy maintenance, unsubscribe from email, or report a problem, we may receive your name, email address, payment or licence details, messages, screenshots, attachments, and any information you choose to include. Email signup and desktop-link requests may also store the request source, page path, country code, browser/user-agent details, consent text, and signup count so we can operate the requested email flow and avoid duplicate sends.

3. Payments and licences

Payments, licence keys, subscriptions, taxes, invoices, and receipts may be handled by third-party providers such as a payment processor or licence platform. Those providers process payment and account data under their own terms and privacy policies. We do not need or want your full card details.

4. Website and email infrastructure

The website and download files may be hosted through infrastructure providers such as Cloudflare. They may process technical logs such as IP address, browser details, request URLs, timestamps, security events, and performance data. Email may be routed through email providers before it reaches us.

5. Analytics

Optional browser analytics starts only after you select “Allow analytics.” The website stores that choice in local browser storage so it can respect it on later visits. You can decline without affecting the website or downloads and can change or withdraw your choice at any time through the “Analytics choices” control in the website footer. Withdrawing clears RetainerMeter’s campaign visitor, session, first-touch, and visit-deduplication values from session storage and stops new browser analytics after the page reloads.

When you allow browser analytics, we use it to understand basic traffic and download interest. The website may record aggregated browser visits, desktop-link requests, and official download-link requests by page, UTM source/medium/campaign, external referring hostname, country, coarse device class, platform, and date. Recognized referring hostnames and UTM sources may be grouped as referrals from services such as ChatGPT, Perplexity, Copilot, Gemini, or Claude; RetainerMeter does not receive or collect prompts or conversation content. For campaign and referral measurement, the site may also generate random anonymous visitor and session IDs in session storage, retain whitelisted campaign/ad identifiers, and record active visible time, maximum scroll depth, page and call-to-action events, browser/operating-system family, locale, timezone, country, region, and city using coarse location information supplied by Cloudflare, and server-side download redirect requests. The anonymous visitor ID lasts only for the browser tab session and is not derived from IP address or fingerprinting. Official download links may also record daily aggregate counts by file, version, platform, source, country, region, and city using location information supplied by Cloudflare. These events are requests and do not prove a completed file transfer, install, trial use, or purchase. RetainerMeter does not store raw IP addresses in its own analytics and does not use analytics to inspect your local app data.

7. Sharing

We do not sell your personal information. We may share necessary information with service providers who help operate the website, email, payments, licences, downloads, analytics, support, accounting, or legal compliance. We may also disclose information if required by law.

8. Email choices

Marketing or follow-up emails include an unsubscribe link when they are sent through the RetainerMeter email system. If you unsubscribe, we may keep the email address on a suppression list so the system knows not to send further follow-up emails to that address.

9. Retention

We keep support, licence, payment, email, suppression, analytics, and business records only as long as reasonably needed for the purposes above, including tax, accounting, support history, campaign measurement, fraud prevention, email preferences, and legal obligations. Granular anonymous campaign events, sessions, and visitor IDs are pruned after 90 days of inactivity during normal event ingestion; they are not intended as a permanent person-level profile.

10. Your responsibilities

Because RetainerMeter stores app data locally, you are responsible for protecting your device, controlling access to it, and maintaining backups of your business data.

11. Your rights

Depending on where you live, you may have rights to access, correct, delete, restrict, or object to certain uses of your personal data. You may also have the right to complain to a data protection authority.
